Connecting to Outlook

Outlook/Exchange Settings

This feature allows you to push new LibCal Appointment Bookings, check your Outlook/Exchange calendar for Busy times, updates to Bookings and Booking cancellations instantly to your Outlook/Exchange Calendar.

NOTE:  Outlook/Exchange appointments with either the 'Free' or 'Working Elsewhere' status are treated as available times in LibCal, for all other status types LibCal will treat you as busy.

How does it work?

Your Appointments will show up, almost instantly, in your Outlook/Exchange Calendar. This way, you'll know when an appointment has been scheduled, or cancelled, almost instantly.

Your Outlook/Exchange Calendar will contain:

  • Who booked it - Name & Email (along with the LibCal's booking ID)
  • Location - Where you're supposed to meet

But wait, what if I have a reference desk meeting or an out-of-office appointment?
No worries - just add the event to your Outlook/Exchange calendar as you normally would, and your Appointments stay up-to-date! Just check the Free/Busy time checkbox below.

This 2-way sync will:

  1. Remove the booking time slot from Public Interface so users can't book time with you.
  2. Show as 'BUSY in Outlook/Exchange' on the Admin Interface.

Hooray! You'll successfully prevented a double-booking disaster while improving your work-flows!

Appointment times will be imported as UTC (Coordinated Universal Time) into your calendar, however Outlook/Exchange will convert this to your local time zone.

Outlook/Exchange appointments with either the 'Free' or 'Working Elsewhere' status are treated as available times in LibCal, for all other status types LibCal will treat you as busy.
