Creating Events in LibCal

Creating and scheduling an event in LibCal

1. If you don't have a LibCal account, contact UAL web support: web-support@lib.arizona.edu.
 

2. Gather key info before creating your event:

  • Title, date, time, location
  • Description, audience, what participants need to know and/or bring
  • Contact person(s)
  • Space needs: size, technology/equipment
  • Promo image (optional)
  • Is registration required? If so, what's the maximum number of participants? 
  • If the event is in-person, online, or hybrid, you can schedule the room and/or the Zoom meeting
     

3. Log in to your LibCal account to access the Events, exhibits, and workshops calendar.
 

4. Select Events in the top bar.

5. Select Events, exhibits, & workshops.

6. Fill out these required fields.

Title, date, time

  • Use title case (e.g., Research Skills for Graduate Students).​
  • Keep it short, clear and descriptive.
  • If your event is online, include this after the title.
    • e.g., Learning about citations (online)
  • Date and time: use the calendar and clock to set the date and time of your event.

Description
Include:

  • Event purpose, audience, and key takeaways
  • Details participants need to know and/or what they need to bring
  • Accessibility contact information
    • e.g., For disability-related accommodation requests or questions, contact Sam Smith: ssmith@arizona.edu).​

Category
Select from the drop-down category that describes your event:

  • CATalyst Studios​
  • Drop-In Events​
  • Exhibit​
  • Lecture/talk​
  • Workshops

Event Location

  • Schedule an In-person Location/Space
  • Schedule a CATalyst Learning Studios space
  • Schedule the Zoom event 

Event Registration 

  • Check the Registration is required box if participants must register.
  • Maximum In-person Registrations
    • Add the maximum number of people the event space can accommodate.
  • Registration Form
    • Select Full Name and Email in the drop-down list.

7. Publish Event

  • Publish is the default​ publishing status.
  • Select Unpublished Draft if you’re not ready to publish the event.
  • Select Submit: Add New Event! to publish your event.
