Student Worker Circulation Guide

This guide is meant to provide basic direction and relevant information for student workers in the Law Library working the circulation desk.

Steps to Follow When Closing

Initiate these steps 20 minutes before closing the library in this order:

  • Shut off the elevator in the staff area using the elevator key.
  • Shut off lights and lock and close doors leading to the librarian offices (door next to the Reference desk and in the back by Marcelo office).
  • Lock back door leading out of room Room 137.
  • Walk the two floors of the library, first floor and basement. Let students who do not appear to be law students know that the doors will be locking at 9pm, they do not have to leave but they need to know that they wont be able to get back in if they forget something in the library when they leave. Let public patrons know that the library will be closing in 15 minutes and they will need to leave at that time.
  • If there are public patrons in the library, make sure they have physically left the building by 9pm (this means not leaving into the law college lobby).
  • At 9pm, listen for the library lobby doors to make a audible "click" indicating they have locked.
  • Shut down the computer, shut the gate leading to the circulation desk, and shut off the lights at the circulation desk.
  • Shut and lock the door leading into the circulation staff area.
  • Turn off lights in the circulation/tech services area
  • Shut both doors leading from the mail dock to the library.
  • Leave out the east exit of the library.

Steps to Follow When Opening

Initiate these steps 10 minutes before the library opens in this order:

  • Turn on the elevator in the staff area using the elevator key.
  • Turn on lights and open doors leading to the librarian offices (door next to the Reference desk and in the back by Marcelo office).
  • Walk the two floors of the library, first floor and basement. Take a count of who is here when you open. There should not be any public people in the building at this time.
  • If there are public patrons in the library, tell the patron that they should not be here before the hours that we are open, get there name and ask them to leave because they are trespassing. Let the circulation manager know if this happens, and if they give you push back you may have to call UAPD.
  • At 10am, listen for the library lobby doors to make a audible "click" indicating they have unlocked.
  • Start up the circulation desk computer, open the gate leading to the circulation desk, and turn on the lights at the circulation desk.
  • Open the door leading into the circulation staff area.
  • Turn on lights in the circulation/tech services area
  • Open both doors leading from the mail dock to the library.
  • Have all of this done before opening.

When Doors do not Lock / Unlock

On occasion the doors do not lock ... or they do not unlock.  Please follow the procedures below when this occurs.

If doors do not lock when time to leave a closing shift:

  • Call Amer-X at 626-9345 and explain what has happened.
  • Your call back may be from the person who sets the schedules and who is located in Phoenix. 
  • Gil is the local on-campus contact person, but you probably will not need to contact him.  However, his number is 520-490-9823.

If doors do not lock when time to leave a closing shift AND Amer-X is slow to respond:

  • Call UAPD at 621-8273 and ask them for assistance.
  • UAPD should be able to stay at the Law Library until the situation is resolved, allowing you to depart.
  • If for some reason UAPD cannot assist, please contact Bryan Wilson (cell: 520-243-9651) or Cynthia Condit (cell: 520-405-8342) and one of us will help you.

If doors do not unlock at usual opening time:

  • Use a doorstop to prop open one of the exterior entrance doors to the Law Library.
  • Place a notice on the doors informing patrons that the doors are not functioning and direct them to use the door with the doorstop prop to enter and exit. 
  • Call Amer-X at 626-9345 to let them know. 
  • When Amer-X unlocks the doors, remove the doorstop and the notices
